We collect information you voluntarily provide when you express interest in our bookkeeping, payroll, or integration services. This may include:
- Contact Data: Name, email address, phone number, and business address.
- Financial Data: Tax IDs, bank statements, and credit card information necessary for transaction categorization and reconciliation.
- Business Records: Employee data for payroll and vendor information for accounts payable.
Service Engagement & Contracting
Transparency is a cornerstone of our partnership. Our process for new engagements is as follows:
- Quotes: All initial pricing provided is a formal quote based on the scope of work discussed.
- Contractual Requirement: All clients must sign a formal Service Agreement/Contract after a quote is issued and accepted. This contract outlines the specific scope of work, payment terms, and confidentiality obligations before any financial data is accessed or work begins.
Data Security & Confidentiality
We implement industry-standard security measures to maintain the safety of your sensitive financial information.
- We utilize encrypted portals for document sharing.
- Access to your QuickBooks Online (QBO) or financial accounts is restricted to authorized personnel only.
- We will never sell, trade, or otherwise transfer your personally identifiable information to outside parties.
Third-Party Integrations
In the course of providing QBO integrations, your data may be processed by third-party applications (e.g., payroll processors, inventory tools). We ensure these tools are compliant with standard data protection regulations, but we recommend reviewing their individual privacy policies as well.
Data Retention
We will retain your financial records only for as long as is necessary for the purposes set out in our Service Agreement or as required by law (e.g., for tax or accounting audits).
Your Rights
You have the right to request access to the data we hold, request corrections of inaccuracies, or request the deletion of your data upon termination of our signed contract, subject to legal record-keeping requirements.
